Scheduled tasks

A scheduled task runs one of your agents for you at set times, such as every weekday at 07:00. Each run lands in a new chat in your sidebar, so the result is waiting when you open the chat app.

Create a task

You can create a task in two places. Both open the same form.

  • Open Scheduled in the chat sidebar and choose New task.
  • In a chat, open the + menu in the message box and choose Schedule…. The form starts with that chat's agent and the text you typed as the instructions.

Fill in the form and choose Schedule:

  • Name: shown in the list and in the title of each run.
  • Agent: the agent that runs. You cannot change it afterwards.
  • Instructions: the message the agent receives at every run.
  • Repeat, time and time zone: when the task runs. The time zone starts as your browser's.

Nothing is scheduled until you choose Schedule. An agent never creates a task on its own.

Repeat options

OptionRuns
OnceOn one date, at one time.
Every hourEvery hour, at the minute you choose.
Every dayEvery day at the time you choose.
WeekdaysMonday to Friday at the time you choose.

Every monthOn the day of the month and at the time you choose. A month without that day runs on its last day.
Only when I run itNever by itself. You start it with Run now.

A task that runs once is done after its run. Edit its date to schedule it again.

What a run does

A run acts as you. It uses your role and your own connector sign-ins, the same as the agent does when you chat with it yourself. If your role is reduced or you leave the organization, your tasks stop.

Each run starts a new chat at the top of your sidebar, titled with the task name and the date, for example "Overdue invoices · Tue 28 Oct". The first message is your instructions, with a small Scheduled label that opens the task. The sidebar shows the state of the run:

  • Working while the agent runs.
  • Needs you when the run waits for you.
  • Done when the run has finished and you have not opened it yet.
  • Failed when the run did not finish.

Open the chat to read the result. When the run has ended you can keep chatting in it like in any other conversation.

When a run needs you

A run follows the approval mode that the agent's author set as its default, the same rules as in your own chats (see Conversation modes). Your scheduled instructions never count as approval in advance. A call that needs approval waits for you, and it does not run on its own.

When that happens, or when a connector needs you to sign in again, the chat shows Needs you. Open it and answer the approval card or reconnect, as you would in a live chat. The run then continues and the chat shows Working. While a run waits, you cannot send a new message in that chat. You can stop the run instead.

If nobody answers, the run eventually ends as failed.

To avoid a pile-up, a task does not start a new run while its previous run is still open. That time is skipped. A task whose runs stop finishing pauses itself, and its row on the Scheduled page reads "Paused: the last runs did not finish". Choose Resume after you have fixed the cause.

A connector's question to you during a scheduled run is not supported. The agent reports that it could not ask.

Connect before the first run

If the agent uses a connector you have not signed in to, the form says so, for example "Connect Dolibarr before the first run, or it will wait for you". Connect it first so the first run can finish by itself.

Manage your tasks

The Scheduled page lists your tasks with their repeat setting, the next run, and the result of the last run. The menu on each row has:

  • Run now: start one run immediately. The task's schedule stays as it is. You cannot use it while the last run is still open.
  • Pause and Resume: stop and restart the schedule.
  • Edit: change the name, instructions, repeat, time or time zone.
  • Delete: remove the task. The chats of its past runs stay in your sidebar.

Tasks are private. Other members, including administrators, cannot see or change yours.

Limits

  • Up to 10 active tasks per member. Paused, stopped, finished and Only when I run it tasks do not count. Pause or delete one to make room.
  • Up to 50 tasks per member in total, in any state.
  • A task runs at most once per hour.
  • A task has one open run at a time.
  • A run may start some minutes after the set time.
  • A run that could not start for a long time after its set time is skipped, not run late.
  • Runs use your organization's usage and credits, the same as the same message in a chat.

For organization admins

Admins can turn scheduled tasks off for the whole organization: open Settings in the console and switch off Allow scheduled tasks. While it is off, no task starts and members cannot create or resume one. Tasks are kept and run again when you switch it back on.

Example: a daily overdue-invoice digest

Anna works with MK's Dolibarr agent and has connected her Dolibarr account.

  1. She types "List the overdue Dolibarr invoices by customer, with the amount and days overdue" in a chat with that agent, opens + and chooses Schedule….
  2. She names the task "Overdue invoices", picks Weekdays at 07:00, and chooses Schedule. The row reads "Weekdays at 07:00 · Next: tomorrow 07:00".
  3. Next morning the agent runs. Listing invoices is a read, so it needs no approval. The chat "Overdue invoices · Tue 28 Oct" is at the top of her sidebar with Done.
  4. She reads the digest and asks "Draft a reminder to Müller GmbH" in the same chat.
  5. One day her Dolibarr sign-in has expired. The run shows Needs you instead. She reconnects in the chat and the run finishes.
